How UWGEA handles the personal information of members and visitors.
Draft for review. This policy is written to match what the UWGEA website and app actually collect, and is required before the app can be published on Google Play. It should be reviewed and approved by the association’s committee, and ideally by a lawyer, before launch.
Who we are
United Welfare GSWS Government Employees Association (236/24), an employees’ association registered in Andhra Pradesh, India, operates this website and the UWGEA mobile application. For the purposes of the Digital Personal Data Protection Act, 2023, the association is the Data Fiduciary responsible for the personal data described here.
Questions about this policy, or about your data, can be sent to contact@uwgea.org or the helpline on 9666131526.
What we collect
When you become a member
- Name, mobile number and email address
- Designation, department, and your district, mandal and village or ward
- Photograph, used on your digital ID card
- Membership number, plan, validity dates and payment records (transaction reference and status — card and bank details are handled by the payment gateway and never stored by us)
When you use the app
- A device notification token, so we can send you alerts about orders, news and membership
- Content you post or submit — grievances, feedback, comments and messages to the association
When you use this website
- Details you enter into a form, such as a grievance or a contact message
- Basic technical information kept in server logs for security and reliability
Why we collect it
- To register you as a member and issue your ID card
- To process your membership payment and issue a receipt
- To represent you — taking up grievances with your district committee and the relevant department
- To notify you about government orders, welfare schemes and association news
- To meet the association’s record-keeping obligations
Who your information is shared with
Your details are shared only with office bearers of the association who need them to act on your membership or grievance, and with the service providers that operate the platform on the association’s behalf — the payment gateway that processes your fee, and the cloud hosting and messaging providers that run the website, app and notifications.
We do not sell your personal information, and we do not share it for advertising. Where the association is legally required to disclose information, it will do so only to the extent required.
Public information
ID card verification on this website shows only the member’s name, designation, district and whether the card is valid. Mobile numbers, addresses and payment details are never shown on a public page.
How long we keep it
Membership records are kept for as long as you are a member and for the period the association is required to retain its records afterwards. Grievance records are kept until the matter is closed and for a reasonable period thereafter. When you delete your account, your data is removed as described on the account deletion page.
Your rights
- Ask what personal data the association holds about you
- Ask for it to be corrected if it is wrong or out of date
- Ask for your account and data to be deleted
- Withdraw consent for notifications at any time
- Raise a complaint with the association, and with the Data Protection Board of India if you are not satisfied
To exercise any of these, write to contact@uwgea.org.
Children
Membership is open only to serving government employees. The association does not knowingly collect personal data from children.
Security
Data is stored with access controls so that only authorised office bearers can see member records, and payment details are handled entirely by the payment gateway. No system is perfectly secure, but the association takes reasonable technical and organisational measures to protect your information and will notify affected members if a breach occurs.
Changes
If this policy changes, the updated version will be published on this page and, where the change is significant, notified in the app.
